Shipping Instructions
This page will help you determine how, where and when to ship our items. There are three different sets of instructions based on the item’s purpose. Determine if you are shipping: Something to be used in/at your booth (exhibitors ONLY), a physical deliverable for your sponsorship, or something else, and find the instructions for shipping under the appropriate section.

These instructions should be followed for any booth, meeting room or sponsored lounge shipments. All items shipped to the Advanced Warehouse or Show-Site Address are subject to Material Handling.
All booth materials including furniture, backdrops, structural materials, etc. should be shipped to the Freeman Advance Warehouse with the proper shipping labels. Freeman will then deliver your freight to your booth (material handling fees apply). This is the best option if you want to begin set-up as soon as you arrive for move-in and not have to wait for your freight to be delivered.
Hanging signs MUST be shipped to the Freeman Advance Warehouse with a hanging sign label.
Please note that anything shipped to the Freeman Advance Warehouse will be delivered to your booth - you won’t be able to access it outside of move-in hours.
Shipments arriving after the advance receiving deadline will incur a late surcharge.
Missed the deadline? Freeman will begin accepting shipments at the show site starting on March 28th, 2026, or you can ship smaller packages of collateral to the FedEx Office Print & Ship Center in the Mandalay Bay at any time.
What happens to my empty containers during the show?
Pick up “Empty Labels” at the Freeman Service Desk. Once the container is completely empty, place a label on each container individually. Labelled empty containers will be picked up periodically and stored in non-accessible storage during the event. Freeman will begin returning empty containers to booths in no specific order once the show floor has closed and the carpet has been rolled up. Per Exhibitor Display Rules and Regulations empty containers and boxes may NOT be stored in your booth or behind backwalls/drape.
What is material handling?
Material Handling is the service to move and store your freight from the freight docks to your booth. This service includes off-loading from the delivery truck; delivery to your booth; removing empty crates and boxes; storing the crates and boxes during the show and returning them after the show: and finally, delivery of the crates and boxes to your carrier. This service is provided exclusively by Freeman. It is a one-time charge for incoming and outgoing. See the Material Handling page on FreemanOnline for more information, rates, and order forms.

Shipping to the Advance Warehouse
Freeman will begin accepting advance shipments at their warehouse on February 26, 2026. All shipments must be delivered to the Freeman warehouse by March 25, 2026. Materials arriving after March 25, 2026, will be subject to a late surcharge.
Please attach the correct Freeman shipping label to each box in your shipment.

NOTE: Warehouse receiving hours are Monday through Friday 7:00 am - 2:30 pm PT. The Warehouse will also be open on Saturday March 14 and Saturday March 21. Certified weight tickets must accompany all shipments.
Please note that the Freeman Warehouse does not accept uncrated freight (loose, pad-wrapped material and/or un-skidded machinery), COD shipments, hazardous materials, freight requiring refrigerated or frozen storage, a single piece of freight weighing more than 4,500 pounds or a single piece of freight beyond the dimensions of 108"H x 93"W x 114’L.

Shipping Direct to Show Site
If you ship booth materials directly to Mandalay Bay, Freeman cannot accept the delivery before March 28th, 2026. Shipments arriving before this date may be refused by the facility or incur charges.
Please attach the correct Freeman shipping label to all boxes in your shipment.

Shipments may be significantly delayed if you ship directly to the show site. If your shipments are delayed, this could affect your material handling fees and labor costs during build.
NOTE: A Marshalling Yard will be in use for all show site shipments. All delivering carriers must check in at the Marshalling Yard prior to delivering to the facility. We advise to have your carriers arrive early as the Marshalling Yard is first come first serve.

This location does not accept deliveries. It is only for the staging of trucks delivering to and picking up from show site facilities.
Shipping to The FedEx Office Print & Ship Center:
Collateral and smaller boxes can also be shipped to the FedEx Center in Mandalay Bay, conveniently in the South Convention Center.

Be sure to double check the FedEx Center’s hours of operation and plan your pickup accordingly. FedEx will not assist in delivery to your booth; Exhibitor must be able to hand carry the items to their booth space.
NOTE: Please do not send booth build materials to the FedEx Center, but to the advance warehouse or show site.
Deliverables For My Sponsorship
These instructions are ONLY for any sponsorships that require you to provide physical items to Fintech Meetup, such as a seat drop or bag insert. Items for booths, sponsored lounges or meeting rooms will NOT be delivered if you do not follow the instructions in the section “Something to be used in/at my booth.” We recommend confirming your exact instructions for your sponsorship with your logistics lead before shipping.Most items should be sent to the Freeman Advance Warehouse with the proper shipping label (confirm with your logistics lead how to fill in the label). Please be sure to label each box and label it correctly - especially if you have a booth, as your sponsorship items could be redirected!

Be sure to double check the FedEx Center’s hours of operation and plan your pickup accordingly. You must make arrangements ahead of time with your logistics lead to drop off any sponsorship items not arriving via Freeman Advanced Warehouse or Show Site shipping.
Something Else
Smaller shipments that you can pick up yourself, such as a box or two of swag, collateral, office materials, or personal items can be shipped to the FedEx Office Print & Ship Center at Mandalay Bay. The FedEx Center is conveniently located in the South Convention Center, which is where Fintech Meetup takes place! You will need to coordinate with the FedEx Office Print & Ship Center directly and will need to pick up your items yourself. You may be able to get assistance from the Mandalay Bay hotel in moving an item to your hotel room at the Mandalay Bay if needed.
